SIMPATI: Penataan Arsip Statis menjadi Homebase Digital melalui KKN Tematik di Depo Arsip Dinas Perpustakaan dan Kearsipan Kota Batu

Abstract


Static archives only retain their value when their context can be understood and their content retrieved. At the Depo Arsip (Archives Depot) of the Batu City Library and Archives Office, digital static archives in the form of photographs were stored in drive folders separate from the Excel files describing them, lacked classification and unique codes, and had no homebase for data management. This community service programme aimed to organise those archives into a single digital homebase that can later be prepared for upload to the National Archival Information Network (JIKN) and the National Archival Information System (SIKN). It was carried out on 7-31 July 2026 through the Thematic Community Service Programme (KKN-T) of the Faculty of Administrative Sciences, Universitas Brawijaya, by Public Administration and Library Science students in two groups together with Depo Arsip staff. The stages were field observation and discussion, fishbone root-cause analysis, design, data entry, and presentation of results. The programme produced SIMPATI (Sistem Informasi Pusat Alih Media Arsip Statis), consisting of a Google Form, Google Spreadsheets as the catalogue, and a S.id short link as single access point. A total of 1,425 photographic archives from 2006, 2007, 2008, and 2016 were entered with metadata and classification numbers based on Batu Mayor Regulation Number 27 of 2012, and a tutorial video was produced. These results are at the output and early-outcome level, so sustainability depends on a responsible staff member, periodic backups, and a later review of system migration.
